Documents

The Documents Area enables Councillors to have a central and private area for all common documents on the internet.  Members can elect to have emails sent to them each time a new document is uploaded.

1.  Where is the Documents Area?

  • Log in to the Secure Area
  • In the left hand menu click Documents
  • The Documents screen is arranged like Windows Explorer

2.  How do I view the Files?

On the left side of the Documents screen is a list of the Folders.  Each folder contains files.  To view the files:

  • Click on the name of the Folder (rather than the picture of the folder)
  • The Files for that folder will then appear on the right side of the Document screen
  • The Files are displayed with the following information: Name, Size, Type, Modified and Delete (Delete will depend on your permissions)

3.  How do I Open/Download a file?

  • First find the file as in points 1 and 2 above.
  • Click on the Name of the file
  • This will open the file in your browser

4. How do I Save a file?

The are 2 options.

A.  Open the file as in point 3 above.

  • For Word documents, click File, Save As in your Browser to save the file onto your computer
  • For pdf documents , click the Save icon in the Adobe viewer window (far left of screen)

B.  View the file as in points 1 and 2 above

  • Right click on the file Name
  • Select Save Target As...
  • You will be presented with a dialog box to save the file on your computer.

5. How do I Upload a File?

  • Go to the Documents area as in point 1 above
  • The Folders will be listed on the left side of the Documents Screen.  Click on the Name of the Folder where you want to upload a file to (not the image of a folder).
  • Click Upload File (just above the Folders heading)
  • Click Browse... to select a file on your computer or network
  • Select your file, click Open (Spaces or characters eg & * /  are not allowed in filenames)
  • Click Save and Upload

6. How do I Delete a File?

  • View the file as in points 1 and 2 above
  • In the right side of the row corresponding to the file, click Delete? marked with a red X
  • You will be asked to Confirm the deletion of the file, click Yes.

7. Can I replace / rename / move a File?

No, the file must be first deleted then uploaded again.

8. Who has access to the Documents?

All members of the Secure Area can access all the documents.
